Events and Marketing Coordinator

FLEXIBLE PART TIME (Avg. 25-30 hours/week during event season June-Aug) (Avg.10-15 hours/week off season Sept- May)

$17.50 per hour

The position would begin immediately and is flexible hours (around another job or school) during the off-season with the exception of a few events.  Then would move to 25-30 hours a week for the summer event season with specific event days required.

 

Position Summary:  Part-time hourly position to assist the Events and Partnerships Manager in the planning and booking,  set-up, running of, and tear down of our downtown events.  Assistance to Marketing and Memberships Manager in various projects and general tasks.

Essential Duties and Responsibilities: The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all inclusive

 

The Events and Project staff position will be a project-focused position brought on to assist the Events Manager in the fundamentals of putting on our downtown events.

 

·       Take the lead in the set-up and tear down of the scheduled events including small tents, tables, signs, stages, etc.

·       Work with the Events Manager to ensure all elements are organized and in place the day of the event. From payments for entertainers to the check-in of vendors, and the organization of selling of beer and wine, to tearing down and settling payments after the events.

·       Work with the Events Manager to maintain an appropriate inventory of event supplies prior to the next event.

·       Builds and maintains positive and productive working relationships with internal staff, contracted vendors, volunteers, and/or public and private partners.

·       Take the lead in the alcohol sales booth to work with staff and volunteers to sell tickets during events.

·       Take the lead in lining up volunteers to work each of the events.

·       Take the lead in running Kids on the Plaza events each Wednesday through summer.

·       Work with Events manager on the booking of activities for events, musicians for Night on the Town and overall coordination.

·       Work on various summer projects in the downtown- from beautification projects, to working with vendors on signs, or other projects as assigned by Director.

·       Keep the Membership Directory up to date on website and within internal database.

·       Make website updates as needed and assigned.

·       Distribute posters to various local businesses for events.

·       Other duties as assigned by the Marketing and Memberships Manager, LDP Director,  or other staff as assigned.

 

 

 

Requirements

Requirements

·       Enthusiasm for Outdoor Events and or Downtown Revitalization efforts.

·       Strong work ethic with willingness to be outdoors in all conditions and perform physical labor.

·       Demonstrated knowledge and proficiency using a variety of office software programs, including but not limited to Word, Excel, and standard email communications.

·       Ability to work long hours for events if needed on event days showing physical stamina and high energy levels.

·       Ability to communicate effectively both orally and in writing

·       Self-motivated team player

·       Ability to take direction to follow event plans.

·       Must be available all summer to attend events- schedule available upon request.

·       Problem solving and conflict management skills.

·       Excellent multitasking ability, and ability to perform under stress.

·       Have a love for downtown events, music, people and FUN.

 

Preferred

·       Have Alcohol Servers or TIPS training (can be acquired after hired)

·       Previous event experience.

 

Schedule:  During the off-season the working hours are fully flexible and can be worked around a student schedule or around a second job. In the event season (June-August) a more regular work schedule is required and attendance at most all events will be required.  Typical summer event season includes (but is not limited to) 8 Wednesday evenings in July/August,  3 full day Music Festivals on a Friday or Saturday,  Friday Night on the Town once a month, two Friday night events- Ice Cream Festival and Symphony Concert, Kids on the Plaza events each Wednesday.

 

Language Skills: Ability to read and interpret document such as safety rules, operating and maintenance instructions, and events plans. Ability to write routine correspondence. Ability to speak effectively to customs and employees of the organizations.

 

Reasoning Ability: Ability to apply common sense understanding to carry our instructions furnished in written, oral, or diagram form. Ability to deal with problems reasonably and effectively. Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical, verbal or diagram form.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to sit, stand long periods and talk or hear. The employee is required to stand and walk on a daily basis. The employee must regularly lift and/or move up to 50 pounds. Specific vision abilities required by the job include close vision, and distance vision.
